How We Helped a Soccer Academy Save 10+ Hours Every Week

Overview
Most businesses don't need more staff. They need fewer repetitive tasks. That was exactly the situation facing one of our clients — a growing soccer academy running multiple training groups, dozens of weekly sessions, and well over 100 active players. The academy's coaching staff were talented, dedicated, and great with players, but every week, hours of their time were being swallowed by something that had nothing to do with coaching: attendance admin. This case study walks through how Avenir Tech built a custom CRM that automated the academy's entire attendance process, saving the team 10+ hours every week, or 520+ hours a year, while improving accuracy and giving coaches their time back to do what they do best.
The Challenge
On the surface, the academy's process wasn't complicated. It was just repetitive, and repeated constantly. Every week, staff had to create attendance forms from scratch for each training session, manually add the correct players to each form, and repeat the entire process for every recurring session — sometimes 9 or more times a week. None of it was difficult work, but it was manual, mechanical, and endless.
A Five-Step Cycle, Repeated 9+ Times a Week
Create a form, add the correct players, share it with coaches or players, track responses as they came in, then repeat the entire cycle for the next session — with training groups running multiple sessions a week, this happened nine or more times, every single week, without fail.
Coaches Doing Admin Instead of Coaching
Instead of coaching, planning drills, or working with players, coaching staff were stuck behind laptops managing spreadsheets and forms.
Repetitive Data Entry
The same player names and the same training groups were entered over and over into new forms each week.
Human Errors
With dozens of players moving across multiple training groups, manual entry inevitably led to missed names, duplicate entries, and attendance sheets that didn't match reality.
Less Time Coaching
Every hour spent managing paperwork was an hour not spent developing players — which is what the academy actually exists to do. The software itself (simple forms and spreadsheets) wasn't really the problem; the manual work built around it was.
Our Solution
Rather than patching the existing forms-and-spreadsheets setup, Avenir Tech designed and built a custom CRM purpose-built for how the academy actually operates — around players, training groups, and recurring sessions. The core idea was simple: automate the recurring, not just the individual task. The new system reduced the entire weekly cycle down to a one-time setup: select a player once when they join, assign them to their training group a single time, and from that point forward no further manual input is needed for that player.
Automatic Session Population
Every future session for a training group automatically includes the correct players, with no manual re-entry required.
Automatic Form Generation
Attendance forms are generated automatically ahead of each session — no one has to build them.
Automatic Reminders
Reminders are scheduled automatically, keeping coaches and players informed without manual chasing.
Automatic Tracking & Reporting
Attendance is tracked and reported automatically, feeding directly into a live academy dashboard showing active players, training groups, attendance rates, and a full automation workflow view — Player Selected → Assigned to Training Group → Auto-Added to All Sessions → Attendance Tracked — all running with no manual work needed.
The Results
| Metric | Result | What It Means |
|---|---|---|
| Time Saved | 10+ hours every week | Reclaimed weekly capacity previously spent on attendance admin |
| Time Saved Annually | 520+ hours every year | Equivalent to over three months of full-time work returned to coaching |
| Automation Efficiency | 95% of tasks automated | Nearly the entire attendance workflow now runs without manual input |
| Manual Work Reduced | 87% reduction in admin time | Coaches spend far less time behind laptops and far more time with players |
| Forms Automated | 100% — no manual work required | Every attendance form is generated and ready ahead of each session |
| Attendance Rate | 93% average, tracked in real time | Live, always-current visibility into academy-wide attendance |
Beyond the numbers, the qualitative shift mattered just as much: fewer administrative errors, since players are automatically and correctly assigned to every session; more time spent coaching instead of managing paperwork, with the hours reclaimed each week going straight back into developing players; and less admin, fewer errors, more coaching — the three outcomes the academy cared about most, all delivered by the same automated system.
Why This Matters
This project reflects a principle we apply to every client engagement at Avenir Tech: good automation doesn't replace people — it removes the repetitive work so people can focus on what actually matters. The soccer academy didn't need more administrative staff to keep up with attendance; they needed the repetitive part of the process engineered out of their week entirely.
- Automate the recurring process, not just the individual task.
- A one-time setup per player replaces a manual process repeated 9+ times a week.
- Good software removes repetitive work so people can focus on what matters — coaching, not paperwork.
- If your team repeats the same task every week, there's a good chance it can be automated.
